Sole Proprietorship

With one SIM card

If you have a sole proprietorship and only want to use one SIM card for your business, it is better to choose a regular Mobile Vikings subscription. You can easily link your VAT number to such a private subscription. 

The prices themselves are the same, and moreover, with a private account, you can use Viking Deals to lower the cost of your bill or form a Viking Clan for extra data on top of your bundle.

With multiple SIM cards

We recommend creating a Mobile Vikings for Business account. As soon as your account is active, you send yourself an invitation to link your own number to the Business account. After acceptance, the cost of your subscription will be included in the monthly Business invoice.

Please note: costs outside the bundle (such as international calls or De Lijn tickets) continue to run through your private account. Because your VAT number remains linked to it, you will also receive a separate invoice for this. Handy for your VAT declaration.

Application

You register online in 5 minutes via our website. After confirmation by e-mail, you can immediately activate mobile subscriptions for your colleagues.

Please note: ‘Internet Thuis’ (Internet at Home) is not available via Business, but employees can take out a private internet subscription.

You are not bound by your choice in any way: neither in terms of duration nor price plan. You can stop, adjust, or add a subscription at any time via your account. Convenient, right?

Switching

Are you switching

If you already have a business subscription with another operator, it is best to first check the terms and conditions to avoid a fine (e.g., a termination fee). If that is in order, you can enter the subscription number of your current operator during your registration for Mobile Vikings for Business. We will then take care of the transfer of the numbers. You can find your subscription number on your current operator's invoices.

You can do this by following these steps:

1. In your account settings, select the SIM card you want to give a sepaprice account.

2. Enter the details for the new account.

3. You will receive an email with a button to accept the transfer.

4. Then fill in the requested details to start the transfer.

5. Once the transfer is completed, the recipient will receive a confirmation email. Done!

Please note:

  • Are you a member of a Viking Clan? Then you must leave your Clan before you can transfer the SIM card. You do this via your account settings. Afterwards, you can contact our helpdesk to become a member of your original Viking Clan again.

  • Active bundles and/or calling credit on the SIM card expire. The recipient can choose a new subscription or top-up.

  • Your linked payment method is automatically unlinked and does not move with it.

  • You cannot transfer your SIM card to a minor Viking.

  • The recipient does not receive a new SIM card – so be sure to pass it on yourself if necessary. :-)

Repeat these steps for all SIM cards you want to link to your Mobile Vikings for Business account.

Linking and Adding

    Each employee creates a private account themselves

    A Mobile Vikings business account acts as an 'umbrella' over your colleagues' personal private accounts. Every employee creates their own private account, and that info is linked to the business account. This is how the invoices are also prepared. This approach gives you, as an employer, a lot of flexibility to start, adjust, or stop the contribution at any time without hassle.

    Email addresses and invitation validity

    You only need to email a different email address if the mobile numbers are owned by your employees. If your company owns the numbers, you may send the invitation to the same email address.

    Your invitation remains valid:

    - until you, as the administrator, cancel it yourself. (You can also send an invitation multiple times, by the way.)

    - until your colleague accepts the invitation and activates a subscription.

    - as long as your company has an active account with Mobile Vikings for Business.

    SIM cards in devices (Non-employees)

    Do you use SIM cards in devices (such as an iPad or alarm system)? In that case you also need to click on ‘add employee’. For the name and first name, enter the name of the user or the device using the SIM card. You send that invitation to yourself and will then be able to complete the transfer yourself.

Manage your business account

In that case, your colleague has 2 options:

  • Remaining on the current price plan and bearing the price difference with the new, lower price plan.

  • Agreeing and receiving the new price plan.

In both cases: a new price plan automatically becomes active from the start of the next subscription month of each specific phone number.

As soon as your colleague accepts the increase or when your colleague is already on a higher price plan, your monthly contribution also increases.

Important to know: a colleague can never choose a lower price plan than what you, as a company, have proposed.

What are the possible scenarios?

  • Colleague was on a lower plan (€ 15) than your new proposal (€ 20): Switching to at least € 20 is required. If opting for € 30, your colleague pays the difference (€ 9).

  • Colleague was on a plan (€ 20) between the old (€ 15) and new proposal (€ 30): Automatic switch to € 30. You pay € 30, the colleague pays nothing extra.

  • Colleague was already above (€ 30) your new proposal (€ 20): Colleague stays at € 30. You pay € 20, the colleague pays € 9 extra.

As an administrator, you can set the following per colleague:

  • an individual price plan (your employer contribution)

  • a language preference

  • a limit or allowance for out-of-bundle costs

Please note: Are you adjusting the price plan? Then your colleague must also confirm this via My Viking. They will receive an email with instructions about this. Unless you offer a € 30 subscription, your colleague can also choose a higher price plan themselves. You pay your contribution, your colleague pays the possible difference.

You can manage your employees' phone numbers yourself, but only if your company is the legal owner of those mobile numbers. In that case, you may:

  • transfer the numbers to the company's name;

  • use one central business email address (not the employee's private address);

perform the linking yourself.

Afterward, you easily manage everything via your own My Business account.

By default, the employee pays the out-of-bundle costs themselves (such as extra data, call minutes, or SMS). 

Do you, as an employer, want to (partially) intervene? You can set a monthly allowance between € 0 and € 300 via your My Business account. 

This amount is the maximum you pay per employee for out-of-bundle costs. If your colleague uses less? Then you also pay less; you will see this on your monthly invoice.

Invoicing

Invoices are sent exclusively via Peppol. This is the European network with which companies can easily and securely exchange invoices. As a result, invoices automatically and correctly end up in your company's accounting.

As a company, you receive one invoice monthly. This contains:

  • an overview of all active subscriptions;

  • the cost per price plan;

the total invoice amount.

By default, invoices are digitally available in the My Business portal and via email. If you still want to receive your invoice on paper, contact our helpdesk. You can also adjust your preference for receiving the invoice in your mailbox in your My Viking account.

Out-of-bundle costs

Out-of-bundle costs (such as international calls or SMS services) are standardly billed directly to your colleague. 

Do you, as an employer, want to (partially) intervene? You can set a monthly allowance between € 0 and € 300 via your My Business account. This amount is the maximum you pay per employee for out-of-bundle costs. If your colleague uses less? Then you also pay less; you will see this on your monthly invoice.

Payments and reminders

We recommend setting up an automatic payment (via direct debit, Visa, or MasterCard). This way, your monthly invoice – one overview for all your subscriptions – is automatically paid via the chosen method.

When creating your Mobile Vikings for Business account, you choose a payment method immediately.

Want to adjust it later? Go to your account settings and click 'Add new payment method'. Two days before and on the due date of your invoice, you will receive an email reminder from us.

Non-payment by employee

An employee only receives a personal charge when choosing a more expensive price plan than what you, as the employer, proposed, or when there are out-of-bundle costs.

In the event of an outstanding balance, we send:

  • a first reminder 2 days before the due date

  • a second reminder on the due date

and two additional reminders thereafter

If payment is still not made afterward? Then we temporarily switch the subscription to minimum services: the employee can no longer call, text, or surf mobile, but can still call emergency services and receive calls or texts. If payment remains outstanding, the subscription is definitively stopped.

Stopping the employer contribution

Do you want to stop the contribution for a colleague's subscription? Here you can read which steps you need to take and what the options are for your employee, depending on the management you have set up (full or shared).

With full management over the account

If you stop the employer contribution for a subscription with full management, your colleague has 2 options for their subscription:

  • Not keeping the subscription and the phone number in question. The phone number will then also be closed. There are no extra costs associated with this. The number in question can, of course, also be transferred to another operator.

  • Keeping the subscription and the phone number in question. The full subscription fee will then be billed directly to your colleague. Your company will no longer receive an invoice for that phone number.



Please note: with full management, as an employer, you must stop the employer contribution in your My Business account but also stop the number itself in the private account if desired. Otherwise, the subscription continues.

With shared management over the account

If you stop the employer contribution for a subscription with shared management, your colleague has 2 options for their subscription:

  • Not keeping the subscription and the phone number in question. The phone number will then also be closed. There are no extra costs associated with this. The number in question can, of course, also be transferred to another operator.

  • Keeping the subscription and the phone number in question. The full subscription fee will then be billed directly to your colleague. Your company will no longer receive an invoice for that phone number.

Please note: with shared management, as an employer, you must stop the employer contribution in your My Business account but also inform the employee that the number must be stopped in their private account if desired. Otherwise, the subscription continues.
