## What you need to know as an employer

### How do I register my company for Mobile Vikings for Business?

Super easy: register online in just 5 minutes via our website. Once you’ve confirmed by email, you can immediately activate mobile subscriptions for your colleagues. Note: ‘Internet at home’ isn’t available via Business, but employees can still order a private internet subscription.

You’re not tied to anything - no contract duration, no fixed plan. You can cancel, change, or add subscriptions anytime via your account. Handy, right?

### I only have one SIM card. What’s the best option for me?

If you’re **self-employed** and just need one SIM card for your business, a regular Mobile Vikings subscription is your best bet. You can simply link your VAT number to a personal subscription.

The rates are exactly the same, and with a personal account you can also take advantage of Viking Deals to lower your bill, or join a Viking Clan to score extra data on top of your bundle.

### What should I do if I already have a business subscription with another operator?

First things first: make sure to carefully check your current contract terms.

As much as we’d love to welcome you aboard, we don’t want you to face a cancellation fee from your current operator. If everything checks out, you can simply enter your current subscription number during your Mobile Vikings for Business registration. That makes transferring your numbers a breeze, we’ll handle it for you. You’ll find your subscription number on your current operator’s invoices.

### I already manage multiple SIM cards on one account. How can I switch to Mobile Vikings for Business?

- In your [account settings](https://mobilevikings.be/en/my-viking/products-overview), choose the SIM card you want to transfer.

- Enter the details of new account you're creating.

- You will receive an email that has a button to accept the transfer.

- You then need to fill in the necessary information to start the transfer.

- Once the transfer has been completed, the recipient will receive a confirmation email. Done!

**Please keep in mind:**

- Are you a member of a Viking Clan? In that case, you need to leave the Viking Clan first before you'll be able to transfer the SIM card. You can do so in your [account settings](https://mobilevikings.be/en/my-viking/sims/settings?spc=clan). Afterward, you can contact our helpdesk to be added back into your Viking Clan.

- Active bundles and/or calling credit on the SIM card expire. The recipient can choose a new subscription or top-up.

- Your linked payment method will be automatically unlinked and will not be transferred along with the SIM card.

- You cannot transfer your SIM card to a minor Viking.

- The recipient will not receive a new SIM card - so be sure to give it to them if necessary. :-)

Repeat these steps for all SIM cards that you want to link to your Mobile Vikings for Business account.

### My VAT number is already linked to my existing Mobile Vikings account. How do I switch to Mobile Vikings for Business?

If you’re only using one SIM card, there’s nothing you need to do. You can simply keep using your personal account and still benefit from the discounted rates for self-employed users.

Then we recommend creating a Mobile Vikings for Business account via [this link](https://mobilevikings.be/en/business/). Once your account is active, send an invitation to yourself to link your own number to the Business account. After accepting it, the cost of your subscription will be included on the monthly Business invoice.

**Note:** out-of-bundle costs (like international calls or De Lijn tickets) will still be charged through your personal account. Since your VAT number is linked to that account, you’ll receive a separate invoice - handy for your VAT return.

### How do I activate a subscription for a colleague?

### Why do I need to email my employees to transfer their mobile number?

A Mobile Vikings business account works like an umbrella over your colleagues’ personal accounts. Each employee creates their own personal account, and that info is then linked to your business account. This is also how the invoices are generated.

This setup gives you, as the employer, full flexibility: you can start, adjust, or stop a colleague’s contribution at any time - no hassle.

### Do I need to send the invitation to a different email address every time?

No, only if the mobile numbers are owned by your employees. If your company owns the mobile numbers you want to link, you can send all invitations to the same email address.

### What happens if a colleague doesn’t accept my invitation?

Your invitation remains valid:

- until you, as the admin, cancel it. You can resend the same invitation to the same colleague for the same number multiple times.

- until your colleague accepts the invitation and activates a subscription.

- as long as your company has an active Mobile Vikings for Business account.

### I see ‘add employee’, but I don’t have any employees. I use several SIM cards in an iPad, alarm system, smart fridge… How can I transfer those numbers?

Even in that case, just click ‘Add employee’. For the first and last name, enter the name of the user or the device using the SIM card. Send the invitation to yourself - you’ll be able to complete the transfer on your own.

### I want to manage my employees’ phone numbers myself. Is that possible?

Yes, but only if your company is the legal owner of those mobile numbers. In that case, you may:

- transfer the numbers under the company’s name

- use one central company email address (not the employee’s personal one)

- complete the linking process yourself

After that, you can easily manage everything from your own [My Business account](https://mobilevikings.be/en/my-business/employees).

### What can I change for my colleagues as an admin?

As an admin, you can set the following for each colleague:

- an individual price plan (your employer contribution)

- language preference

- a limit or reimbursement for out-of-bundle costs

**Note: i**f you change the price plan, your colleague will still need to confirm it via My Viking. They’ll receive an email with instructions.

Unless you’re offering a € 30 plan, your colleague can also choose a higher plan themselves. You cover your contribution, they pay the difference.

### How do I adjust the out-of-bundle cost allowance for my colleagues?

By default, employees pay for their own out-of-bundle costs (like extra data, minutes, or texts).

As an employer, you can choose to (partially) cover those costs. In your [My Business account](https://mobilevikings.be/en/my-business/employees), you can set a monthly allowance between € 0 and € 300.

That amount is the maximum you’ll pay per employee for out-of-bundle usage. If your colleague uses less, you pay less. You’ll see the exact amount on your monthly invoice.

### What happens if I lower the chosen price plan for a colleague?

In that case, your colleague has two options:

- they stay on their current plan and cover the price difference with the new, lower plan themselves.

- they accept the change and switch to the new plan.

In both cases, the new price plan takes effect at the start of the next subscription month for that specific phone number.

### What happens if I increase the chosen price plan for a colleague?

As soon as your colleague accepts the upgrade - or if they’re already on a higher plan - your monthly contribution will increase accordingly.

Important to know: a colleague can never choose a lower price plan than the one proposed by your company.

What are the possible scenarios?

- **Colleague was on a lower plan (€ 15) than your new proposal (€ 20)**
    They must switch to at least € 20. If they choose € 30, they pay the difference (€ 9).

- **Colleague was on a plan (€ 20) between the old (€ 15) and the new proposal (€ 30)**
    They are automatically switched to € 30. You pay € 30, your colleague pays nothing extra.

- **Colleague was already on a higher plan (€ 30) than your new proposal (€ 20)**
    They stay on € 30. You pay € 20, your colleague pays the € 9 difference.

### What happens if I stop the employer contribution with full account control?

If you stop the employer contribution for a subscription under full account control, your colleague has two options:

- **They don’t want to keep the subscription and phone number.** The number will be deactivated, at no extra cost. Of course, they can also transfer it to another operator if they prefer.

- **They want to keep the subscription and phone number.** They’ll take over the full cost of the subscription. Your company will no longer receive an invoice for that number.

**Important:** with full control, you must stop the employer contribution in your My Business account and deactivate the number in the personal account if needed. Otherwise, the subscription will continue.

### What happens if I stop the employer contribution with shared account control?

If you stop the employer contribution for a subscription under shared control, your colleague has two options:

- **They don’t want to keep the subscription and phone number.** The number will be deactivated, at no extra cost. Of course, they can also transfer it to another operator if they prefer.

- **They want to keep the subscription and phone number.** They’ll take over the full cost of the subscription. Your company will no longer receive an invoice for that number.

**Important: w**ith shared control, you must stop the employer contribution in your My Business account, but you’ll need to inform your colleague to cancel the number themselves in their personal account if needed. Otherwise, the subscription will continue.

### How does our invoicing work?

Invoices are sent exclusively via **Peppol**. This is the European network that allows companies to exchange invoices easily and securely. As a result, invoices end up automatically and correctly in your company’s accounting.

### What information is on the invoice, and how often is it issued?

As a company, you’ll receive one monthly invoice that includes:

- an overview of all active subscriptions

- the cost per price plan

- the total invoice amount

Out-of-bundle costs (like international calls or premium SMS services) are, by default, invoiced directly to your colleague. Want to (partially) cover those costs as an employer? You can set a monthly allowance in your [My Business account](https://mobilevikings.be/en/my-business/employees).

### Can I, as an employer, cover out-of-bundle costs for my employee?

Yes, you can. By default, employees pay their own out-of-bundle costs (such as extra data, minutes, or texts).

As an employer, you can choose to (partially) cover those costs. In your [My Business account](https://mobilevikings.be/en/my-business/employees), you can set a monthly allowance between € 0 and € 300.

### How do I activate automatic payments for my invoices in Mobile Vikings for Business?

We recommend setting up an automatic payment method (via direct debit, Visa or MasterCard). This way, your monthly invoice - one clear overview of all your subscriptions - is paid automatically using your selected method.

When creating your Mobile Vikings for Business account, you’ll be asked to choose a payment method. Want to change it later? Just go to your [account settings](https://mobilevikings.be/en/my-business/create-company) and click ‘Add new payment method’.

### What happens if an employee doesn’t pay their bill?

If there’s an outstanding balance, we’ll send:

- a first reminder 2 days before the due date

- a second reminder on the due date

- and two more reminders after that

Still no payment? The subscription will be temporarily downgraded to minimum service: the employee won’t be able to call, text, or use mobile data - but can still call emergency numbers and receive calls or texts. If payment is still not made, the subscription will be permanently terminated.

**Note:** an employee only receives a personal payment invitation if they’ve chosen a more expensive plan than the one you, as the employer, offered - or if there are out-of-bundle charges.

### What happens if my invoice expires?

You’ll receive an email reminder from us two days before the due date and again on the day itself.

### What happens if my automatic invoice payment fails?

If your automatic payment (direct debit, Visa or MasterCard) fails, we’ll notify you by email. You can then update your payment method or add a new one.

In that case, you’ll need to pay the outstanding invoice manually one time.

### Can my company receive paper invoices?

By default, Mobile Vikings for Business invoices are available digitally - via the My Business portal and by email. If you'd still prefer to receive a paper invoice, please [contact our helpdesk](https://mobilevikings.be/en/support#contact).

## Important info for employees

### What is a Mobile Vikings for Business subscription all about?

With Mobile Vikings for Business, your employer offers you a business mobile subscription. You become - or stay ;-) - a Viking with your own personal account. That means you can still join a Viking Clan, use Viking Deals, or take out a private home internet subscription. (Internet at home isn’t available through Business.)

Your employer chooses a tailored plan, but unless you’re given a € 30 plan, you’re free to upgrade to a higher one. You’ll simply pay the difference yourself.

Out-of-bundle costs like SMS parking or De Lijn tickets are billed to you personally, unless your employer has set a monthly allowance for them. You’ll find more info on that in the billing section.

### What happens to my Viking Points?

You keep them. If you have out-of-bundle costs and/or choose a more expensive plan than the one your employer offers, you can use your Viking Points to help pay your invoice or bill.

Nothing will change to your **Viking Clan** either. If you’re already part of a Viking Clan, you’ll stay in it. Not in one yet? You can still join one. You’ll find more info on [this page](https://mobilevikings.be/en/viking-clan/).

### What happens after I accept my employer’s invitation?

Once you accept the invitation via email, just follow the steps on our website to activate your Business subscription.

Already a Viking? Nothing changes to your account, you’ll keep your Viking Points and stay part of your Viking Clan.

### How do I accept an invitation from my employer for Mobile Vikings for Business?

You’ll receive an email invitation from your employer. Click the button in that email and follow the steps on the website to activate your Business subscription.

Your employer will propose a price plan, but you’re free to choose a more expensive one and pay the difference yourself (unless you’re given a € 30 plan). Out-of-bundle costs - like SMS parking or De Lijn tickets - are billed to you personally, unless your employer has set a monthly contribution for them.

### I have a Mobile Vikings for Business subscription through my employer. Can I still use Viking Deals to earn Viking Points?

Absolutely. You can still earn Viking Points through Viking Deals. The points you earn can be used to cover personal out-of-bundle costs - like SMS parking or De Lijn tickets. These costs aren’t covered by your employer and are billed to your personal account.

### What’s the best time to switch to a new price plan in Mobile Vikings for Business?

You can switch at any time, but depending on when your bundles renew, your bill will look different. You have two options:

**Switch immediately**

You can do this at any time, but:

- You may receive a one-time payment invitation for the activation of your new price plan

- Your new price plan may not appear right away on your next bill

- The employer contribution may not be applied immediately, depending on your bundle dates

Examples:

- You received your bundles before the 28th of last month: the employer contribution applies immediately to your new plan.

- You received your bundles after the 28th and switch before the 29th: your new plan is active, but your employer’s contribution won’t be applied this one time.

- You switch on the 29th, 30th, or 31st:

- -   Haven’t received your new bundles yet? The contribution applies immediately.

    -   Already received your bundles? The contribution will only apply starting next month.

**Switch at your next bundle renewal**

This is the clearest option. Your new price plan will be activated from your next bundle renewal, and it will automatically appear on the corresponding invoice.

Note: If you choose a price plan that’s higher than the one your employer offers, you’ll personally receive a payment invitation for the difference.

### Can I still join or start a Viking Clan?

Absolutely! You can still start a Viking Clan or join an existing one. More info [here](https://mobilevikings.be/en/viking-clan/).

### What happens if my employer stops the employer contribution with full account control?

If your employer stops the employer contribution for a subscription under full control, you have two options for your subscription:

- **You don’t want to keep the subscription and phone number.** The phone number will then be deactivated. There are no extra costs involved. Of course, you can also transfer the number to another operator if you prefer.

- **You want to keep the subscription and phone number.** The full cost of the subscription will be billed to you. 

**Note:** when your employer has full control, they must stop the employer contribution in their My Business account and cancel the number in the personal account. If not, the subscription will continue, so be sure to pass this on.

### What happens if my employer stops the employer contribution with shared account control?

If your employer stops the employer contribution for a subscription with shared control, you have two options for your subscription:

- **You don’t want to keep the subscription and phone number.** The number won’t be deactivated automatically, you’ll need to cancel it yourself via your personal account. There are no extra costs for this. Of course, you can also transfer the number to another operator if you prefer.

- **You want to keep the subscription and phone number.** The full cost of the subscription will be billed to you. You can then manage everything yourself in your My Viking account.

**Note:** when your employer has shared control, they will stop the employer contribution in their My Business account. But you, as the employee, must cancel the number in your personal account. If not, the subscription will continue.

### What happens if my employer increases the initially proposed price plan?

If your employer increases their contribution, we’ll notify you by email.

As an employee, you’ll then have three options - depending on your current plan:

**You’re on the same or a lower plan than the new proposal.**

You’ll automatically switch to the newly proposed price plan. For example:

- Your employer initially proposed € 15, and now increases their contribution to € 20.

- If you were on € 15, you can switch to € 20 at no extra cost.

**You’re already on the new price plan**

You’ve been paying extra - soon, you won’t have to anymore.
Example: your employer initially proposed € 15. You chose € 20 and paid € 5 extra each month. Now your employer increases their contribution to € 20. You can:

- stay on € 20 → you no longer pay anything extra

- upgrade to € 30 → you’ll now only pay € 9 extra

**You’re on a higher price plan than the new proposal**

You can stay on your current plan or switch to the lower proposed one.
Example: your employer initially proposed € 15. You chose € 30 and paid € 14 extra. Now your employer increases their contribution to € 20. You can:

- stay on € 30 → you’ll now pay € 9 extra

- switch to € 20 → you won’t pay anything extra

### What happens if my employer lowers the initially proposed price plan?

If your employer reduces their contribution, we’ll notify you by email. As an employee, you’ll then have three options - depending on your current plan:

**You switch to the new, lower price plan**

Follow the steps in the email to activate the plan your employer now proposes. Example:

- Your employer lowers their contribution from € 20 to € 15.

- You activate the new € 15 plan → you don’t pay anything extra.

**You keep the price plan your employer previously proposed**

You choose not to switch to the lower price and stay on your current plan.

Example: your plan is € 30, as previously proposed by your employer. They lower their contribution to € 20. You can:

- stay on € 30 → you now pay € 9 yourself

- switch to € 20 → you don’t pay anything extra

**You stay on a higher price plan than the one proposed**

You were already paying extra, and that amount now increases.

Example: your employer initially proposed € 20. You chose € 30 and paid € 9 extra. Now your employer lowers their contribution to € 15. You can:

- stay on € 29 → you now pay € 14 extra

- switch to € 20 → you pay € 5 extra

- switch to € 15 → you don’t pay anything extra

### What happens if my employer terminates his Employer’s Mobile Vikings for Business account?

If your employer closes their Business account, you’ll keep your subscription and phone number. From then on, the full subscription cost will be billed to you, and your company will no longer receive any invoices for that number.

### I have a higher price plan than the one offered by my employer and receive a monthly bill for the price difference. Can I pay that bill with Viking Points?

Absolutely!

### I have a higher price plan than the one offered by my employer and receive a monthly bill for the price difference. What happens if I don’t pay it?

If you receive a monthly bill for your higher price plan and don’t pay it on time, we’ll send you reminders - two days before the due date and again on the day itself.

If the payment is still missing, your subscription will be limited to minimum service: you won’t be able to call, text, or use mobile data, but you’ll still be able to call emergency numbers and receive calls and texts.

If the payment remains unpaid, your subscription will be permanently terminated.

### I’ve incurred out-of-bundle costs with my subscription. How are these handled?

Out-of-bundle costs (e.g. SMS parking, international calls, or premium services like De Lijn tickets) are, by default, billed to you personally. You’ll receive a monthly bill for any such costs - but only if there are any.

Your employer can set a monthly allowance to (partially or fully) cover those out-of-bundle costs. If your usage exceeds that allowance, the remaining amount will be billed to you.

### What happens to my subscription if my employer’s invoice is overdue?

We’ll send your employer a reminder email two days before and on the due date of the invoice.
